Core capabilities of Odoo Fleet
Vehicle register
Each vehicle is recorded with make, model, year, licence plate, VIN and mileage. Technical documents and vehicle papers can be attached.
Driver assignment
Vehicles are assigned to a driver on a permanent or time-limited basis. The assignment history is fully traceable; vehicles without a current driver are clearly displayed.
Fuel consumption and costs
Fuel receipts are recorded per vehicle. Fuel costs can be filtered and analysed by vehicle, driver or period.
Contract management
Leasing, insurance and maintenance contracts are stored per vehicle. Expiry dates trigger automatic notifications before contracts lapse.
Service intervals and reminders
Maintenance intervals based on mileage or calendar are configured. Odoo notifies the fleet team in advance of upcoming service dates and MOT checks.

All costs — fuel, service, insurance, repairs — are aggregated per vehicle and fleet. The cost dashboard enables comparisons by vehicle category, driver and period.
How it works in practice
Register vehicle
The vehicle is created with all technical data and documents. Responsible driver, insurance policy and leasing contract are stored immediately.
Assign driver
An employee is assigned to the vehicle as driver. A future driver can be entered in advance; the complete assignment history is stored in the system.
Record costs
Fuel costs, service invoices and other expenses are recorded on the vehicle record or imported. Receipts are stored as attachments.
Analyse the fleet
The cost dashboard shows total costs, consumption figures and upcoming service dates at a glance. Vehicle replacement and contract decisions are made on a data basis.
